Privacy Policy — Smart Office Hub
Smart Office Hub is developed and sold by Saral Apps Hub, operating at saralapps.co.in. This policy explains what the software does with your information.
The short version: your documents stay on your own computer and, if you choose to enable it, in your own Google Drive. We do not host, receive, or store your documents.
1. We do not run a server for your documents
Smart Office Hub is desktop software. Your files, folders, notes, contacts, registers (Panji), case records, and the search index all live on your own computer, in a local database under your Windows application-data folder.
We have no server that receives your documents. We cannot read your files, and we cannot recover them for you if you lose them — please keep your own backups.
2. What the desktop app sends over the internet
The app works offline. It contacts the internet only in these situations:
| When | What is sent | To whom |
|---|---|---|
| Licence activation | Your email address, a product identifier, and a machine identifier used to tie the licence to one computer | Our licensing service at saralapps.co.in |
| Checking for updates | Nothing about you. A standard web request, which necessarily reveals your IP address to the host | GitHub (our public release channel) |
| Downloading the optional OCR engine | Nothing about you. Same as above | GitHub |
| Showing a portal icon | The website address of a portal you added (for example mponline.gov.in)
so its icon can be fetched |
Google's public favicon service |
| Opening a link or portal | Handled by your own web browser, exactly as if you had typed the address yourself | The site you chose |
We keep licence records (email, licence key, machine identifier, activation dates) because they are needed to sell and support the product. We do not sell or share this information, and we do not use it for advertising.
The app contains no analytics, tracking, advertising, or crash-reporting service. Your usage history, search history, and audit log stay on your computer.
3. Google Drive (optional — off unless you turn it on)
The app can back up and sync your files to your own Google Drive, so you can reach them from your phone or another computer. This is optional and off by default. The app never uploads anything until you explicitly turn it on and choose which folders to include.
Where your files go
Into your own Google Drive account, under a folder the app creates. They do not pass through any server of ours. We never receive a copy, and we cannot see them. They remain your files, subject to your own agreement with Google.
What we ask Google for
We request one permission: drive.file.
This is the narrowest Drive permission Google offers. It lets the app see and manage
only the files it creates or that you specifically open with it — it does
not let the app read the rest of your Drive. We deliberately do not request
drive.readonly or full Drive access.
We ask Google for:
- your email address and basic profile information, to show which account is connected;
- permission to create and update the files the app itself uploads, and to read them back on your other devices.
What we store, and where
The access token that lets the app talk to Drive is stored encrypted on your own computer, using Windows' built-in protection (DPAPI), so it can be decrypted only by your Windows user account on that machine. It is deliberately excluded from the app's own backup and export files, so that sharing a backup never shares your Drive access.
Limited Use
Smart Office Hub's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
We use Google user data only to provide the sync features described here. We do not use it for advertising, we do not sell or transfer it, and we do not allow humans to read it — except where you explicitly ask us to for support, where the law requires it, or where it is necessary for security.
Turning it off
- In the app — Settings → disconnect the Google account. This removes the stored token from your computer.
- In your Google Account — myaccount.google.com/permissions → remove Smart Office Hub's access.
Files already uploaded stay in your Drive and remain yours. Delete them there whenever you want; the app does not need to be involved.
4. The mobile app
Smart Office Hub — Mobile shows you the files your desktop copy has put in your Drive. It signs in to your Google account and reads from your Drive. It sends nothing to us.
Files you open are cached on the phone so they work offline, within a size limit you control, and you can clear that cache at any time. If you scan a document with the phone's camera, the scan goes to your own Drive (or directly to your PC over your local network) — never to us.
The mobile app is free. It contains no advertising and no analytics.
5. Sharing over your local network
The app can share files with other devices on your own local network (Wi-Fi or LAN), for example to send a file to your phone. These transfers happen directly between your devices and never leave your network. Nothing passes through us or through the internet.
6. Children
This is office software for adult professional users. It is not directed at children, and we do not knowingly collect information from them.
7. Changes
We will update this page if the software's behaviour changes, and update the date at the top. Material changes affecting how your data is handled will be announced in the app.
